We are currently recruiting for Temporary Exams Processing Officer to start ASAP, based near Russell Square. All duties covered by Exams Distribution temporary staff are listed below. All temp staff will be advised individually by Management of the individual duties s/he will undertake.
To pack exam question papers, ensuring the corresponding numbers of exam papers are correctly packed against supplied management information and ensuring the corresponding exam rubric label is attached before they are passed to courier dispatch staff. (Exam packets contain between 3 and 3,000 copies per exam centre and can be contained in multiple packets. Consequences of an error would have far reaching implications for the whole examinations diet and for the University).
To undertake preparatory work for the dispatch of scripts (degree programme to be decided by EDM/DEDM); including the updating of examiner details on examiner database, checking that examiners have been officially appointed by the University, and making up packs of exam materials to be sent with individual batch of scripts.
To assist in the monitoring of the return of all examination scripts from exam centers (UK & overseas) including keeping accurate records of the return of scripts, exam documents and consignment tracking details on University database. Ensuring all paperwork has been correctly completed and received from exam Centre. To report any discrepancies to Management and to process the scripts ready for staff to dispatch to examiners.
To assist in the dispatch of scripts (degree programme to be decided by EDM/DEDM); including ensuring all scripts received are logged (as present and absent/withdrawn) on University database to produce an electronic marksheet and generate a batch of scripts ready for despatch to Examiners. Ensuring correct documentation for examiners is sent with each batch of scripts and that all despatches are accurately recorded on distribution spreadsheets, electronic mail book and courier systems.
To assist in the script chase procedure to exam centres on a weekly basis. To be actively involved in liaising with exam centres (UK & Overseas) by email and phone, when scripts have yet to be received or are late back, by supplied management information. To follow up their responses and to keep up to date records.
To make up sets of examination question papers for the summer & autumn diet of exams, as advised by the DEDM
To check that marks on marked exam scripts have been correctly recorded by examiners on mark sheets, to electronically record returned scripts and collate these on their return from examiners and to help with the reconciliation of script marking records in preparation for the payment to examiners of script marking fees by Fees Office .
To assist in the courier processing of exam shipments on in-house courier system
To occasionally help in the hand delivery of urgently required exam scripts to locally based examiners
Any other duties consistent with both the grade and scope of the post
Any other duties reasonably required of the post holder by the Exams Distribution Manager/Deputy EDM
Job Requirements/Person Specification
Some previous experience of office work in general, data entry and working accurately under pressure to tight deadlines is essential.
TECHNICAL KNOWLEDGE AND SKILL
A good standard of keyboarding / IT skills is essential, combined with a good understanding of MS Office packages and an aptitude for word-processing and email communications.
Training in the specific equipment/ software/student databases in use will be provided.
EDUCATIONAL REQUIREMENTS AND PROFESSIONAL QUALIFICATIONS
A good general level of education.
An efficient, methodical and motivated worker with a friendly personality and a flexible approach to work.
Reports to Exams Distribution Manager/Deputy Exams Distribution Manager
SPECIAL DEMANDS OF THE ROLE
A good level of general fitness is essential: a very large percentage of the work involved, such as the packing of exam papers and the distribution of exam scripts is done standing up; assisting other members of staff with the movement of heavy boxes of exam materials may also occasionally be required.
These are temporary positions starting from 25th March to 31st May - Monday to Friday 9am - 5pm/9:30a, - 5:30pm with an hour unpaid lunch paying £12.48 per hour + holiday pay
Please be aware this role will involve standing all day.
This role will be starting on the 25th March so please only apply if you are available to start then and can commit to the full length of the contract. Induction will look to start the week commencing 18th March.
