We are urgently looking for an Administrative Assistant to start ASAP.
Purpose of the Job
To provide general office administration support to a designated team within a School or Professional Services department. The role aims to provide teams with administrative support at peak times which will involve working flexibly across the College as demand requires.
Main Duties of the Jobholder
Deal with staff and student enquiries as the first point of contact/reception for the team; proactively resolving problems, responding promptly, taking accurate messages, following up and signposting more complex issues as appropriate.
To undertake general office tasks including, for example, dealing with the team’s incoming and outgoing post, filing and photocopying, booking meeting rooms and catering, organising accommodation and diary management.
To input data onto College systems and databases accurately, update records and produce standard and ad hoc reports upon request including some basic analysis of data.
Maintain paper and electronic filing systems and keep appropriate records including archiving.
To order stationery or other goods and services for the team, liaising with suppliers and obtaining quotes where appropriate.
Manage and prioritise own workload effectively, liaising with colleagues and highlighting any issues, to ensure work is delivered to agreed deadlines and standards.
Draft and produce standard letters using Microsoft Word; take notes, carry out administration related to meetings for example collating paperwork, circulating papers and following up on actions arising from the meeting.
Support projects within the team by undertaking research via the internet or other media.
Process invoices and expense claim forms, maintaining logs or other records related to financial data onto a spreadsheet (Excel) or database.
Prepare information packs for staff or students including printing, collating and distributing material.
Knowledge Technical/Work-based Skills
Good knowledge and understanding of administrative systems and office work.
Competent user of Microsoft Office, particularly word and excel, Outlook and the Internet.
Accurate data entry skills.
Willingness to learn on the job and to undertake training relevant to the role.
Sound interpersonal and communication skills.
A flexible, positive and proactive approach.
Able to work supportively in a team.
Willingness to work from time to time in the evening or on the weekend, by arrangement.
Experience of office administration.
Experience of dealing with enquiries.

Pay: £12.01 hourly plus holiday pay
Duration: 2 Months
Working Hours: Monday - Friday: 10am - 6pm.
